Policy on the Use of Social Media

Social media is a strategic space for Maison Verso: it allows us to share our mission, build connections with our artistic communities, and amplify the voices of the artists we support. This policy governs the use of digital platforms by the organization and its staff, in order to protect our reputation, our partners, and our organizational culture.

1. Scope

This policy applies to:

  • All Maison Verso staff, at every level of the organization;

  • Any agent or contractor acting on behalf of the organization on social media;

  • The organization's official accounts, as well as staff members' personal accounts when they reference Maison Verso or its activities.

2. Official Accounts

Platforms managed by Maison Verso
Maison Verso's official accounts (Instagram, Facebook, LinkedIn, YouTube, Vimeo, etc.) are vehicles for institutional communication. Their management falls under the communications lead or persons designated by the co-directors.

Authorized publishers
Only individuals expressly authorized by the co-directors may publish on behalf of Maison Verso. Any staff member wishing to contribute content must submit a request to the person responsible for communications.

Editorial guidelines

  • Published content reflects the values, mission, and artistic positioning of Maison Verso.

  • The tone is professional, warm, and grounded in the performing arts sector.

  • Any content featuring artists, partners, or collaborators must be approved by the individuals concerned prior to publication.

  • Copyright, image rights, and broadcasting rights are systematically verified before publishing any third-party content.

  • In the interest of streamlined presentation and adaptation to platform conventions, credits related to works, images, or content shared on social media are not systematically included in individual posts. Full and structured credits are however accessible on Maison Verso's digital platforms, including its website.

  • No financial, contractual, or confidential information may be disclosed on social media.

  • All publications comply with the Copyright Act (Canada), Law 25 on the protection of personal information (Quebec), and any other applicable legislation.

3. Personal Use by Staff

Right to privacy
Maison Verso recognizes that public statements made by its staff, when made outside the scope of their duties, are the individual's own responsibility and do not represent the positions of the organization.

Individual responsibility
Maison Verso staff are subject to a duty of loyalty toward the organization, including in their public communications on social media. This duty applies even outside working hours when the individual identifies themselves as a member of the team. Staff are expected to:

  • Act professionally and in accordance with the organization's values;

  • Specify that opinions expressed are personal and do not represent Maison Verso;

  • Not disclose confidential information about the organization, its artists, partners, or activities;

  • Not publish discriminatory, hateful, harassing, or reputation-damaging content directed at Maison Verso, its partners, or any person associated with the organization — including, without limitation, racist, sexist, homophobic, defamatory, or dignity-violating statements;

  • Not use Maison Verso's resources (logos, visuals, proprietary content) without prior written authorization.

Personal use of social media during working hours must remain occasional and must not interfere with productivity or professional responsibilities. Maison Verso reserves the right to regulate such use if necessary.

4. Managing Incoming Content

Comments and messages
Relevant, constructive, and enthusiastic comments are welcome and valued. The person responsible for Maison Verso's social media monitors accounts regularly and responds to messages within a reasonable timeframe.

Maison Verso reserves the right to remove any comment that:

  • Contains discriminatory, hateful, harassing, or insulting content;

  • Spreads false information;

  • Constitutes unsolicited commercial solicitation or spam.

Reporting and blocking
Accounts or content that violate the rules of any given platform may be reported or blocked without prior notice.

5. Digital Crisis Management

In the event of an incident, controversy, or sensitive situation affecting Maison Verso on social media:

  1. The person who identifies the situation immediately informs the co-directors.

  2. No public response is published before the co-directors have assessed the situation and approved the message.

  3. The co-directors determine the nature and tone of the official response, in consultation with relevant parties as needed.

  4. A follow-up is conducted to document the incident and assess the measures to be taken.

Staff must never take a public position on behalf of the organization outside of their official duties, or engage with a controversy without explicit authorization.

6. Image Rights and Consent

Any publication involving the image or voice of a person (artist, employee, participant, audience member) must be preceded by that person's consent. Maison Verso maintains a register of consents obtained for content published on its platforms.

7. Training and Support

The communications lead provides an introduction to Maison Verso's communication practices to every new employee. Updates are shared with the team when significant changes occur in practices or platforms.

Artificial intelligence and content creation
The use of generative AI tools is part of Maison Verso's working practices. Using these tools to produce content for official accounts is permitted, provided that each publication is reviewed, owned, and validated by an authorized person before it goes live. Editorial responsibility remains human at all times. The organization expects that the use of these tools be consistent with its values of authenticity and artistic integrity.

8. Non-Compliance

Failure to comply with this policy may result in disciplinary measures, the severity of which will be proportionate to the seriousness of the breach and its consequences for the organization.

9. Review

This policy is reviewed annually or when significant changes occur in the social media landscape or the organization's digital practices.
