At Maison Verso, we recognize the growing importance of artificial intelligence (AI) across all sectors, including the performing arts. This policy governs the use of AI within our organization to ensure its adoption is responsible, ethical, transparent, and beneficial — for our team, our artists, our partners, and our audiences.

Optimize operational management by integrating AI to improve day-to-day efficiency: automating repetitive tasks, managing schedules, and optimizing resources.
Uphold ethics and confidentiality by ensuring that all use of AI is transparent, protects personal data, and respects individual rights.
Support artistic creation and presentation by mobilizing AI as a complementary tool, without ever replacing human and artistic judgment.
Build digital literacy within the team through ongoing training and open dialogue on the challenges AI poses for the cultural sector.

Ethical Principles

Transparency
Maison Verso informs all stakeholders of AI use in its processes, clearly explains its capabilities and limitations, and documents the tools in use.

Data Protection and Security

All data processed by AI systems is protected in accordance with Law 25 and applicable Quebec regulations.
Robust security measures prevent unauthorized access to systems and data.
No sensitive data concerning our artists, partners, or audiences is shared with AI systems without informed consent.

Accountability and Human Oversight

AI systems are always supervised by team members. AI complements human judgment; it does not replace it.
Maison Verso is committed to actively identifying and correcting potential biases in the algorithms it uses.
Responsibility for final decisions remains at all times with designated individuals.

Maison Verso ensures that the use of generative AI tools respects the rights of creators, in accordance with applicable laws in Canada and Quebec.
Any content produced with AI assistance is clearly identified as such when disclosure is relevant or required.

Inclusivity and Accessibility

AI must be accessible to all staff, regardless of their level of technological proficiency.
Maison Verso promotes diversity and representation in the selection and deployment of AI tools.

Implementation

Training and Awareness

Regular training programs cover both the technical and ethical dimensions of AI.
Reflective workshops are organized to discuss developments and their implications for the organization and the cultural sector.
This policy is communicated to all team members upon joining the organization.

Governance

A registry of AI tools in use is maintained and updated by the leadership team.
Any significant new use of AI is subject to a prior assessment in accordance with the principles of this policy.

Tools in Use and Data Protection

Maison Verso exclusively uses paid accounts with AI providers. This deliberate choice is intended to ensure a level of data protection consistent with our institutional requirements: paid versions of these tools do not use submitted data to train their models, providing enhanced confidentiality for all our working content.

Maison Verso currently draws on four AI assistants, selected based on their respective strengths across different types of tasks:

Claude (Anthropic) — drafting, strategic analysis, complex document processing, and project support.
Gemini (Google) — research, information synthesis, and integration with Google Workspace tools.
Microsoft Copilot — office productivity and integration with the Microsoft 365 suite (Word, Excel, Outlook, Teams).
ChatGPT (OpenAI) — content generation, creative ideation, and automation of a wide range of tasks.

This list is subject to change. Any addition or removal of a tool is recorded in the AI tools registry and communicated to the team.

Review

This policy is reviewed annually or when significant changes occur in the technological or regulatory environment.

Maison Verso embraces the possibilities offered by artificial intelligence while remaining grounded in its core values: respect for people, the primacy of live art, and a commitment to responsible practice.
